About the Role:
We are seeking a proactive and detail-oriented Commercial Property Management Assistant to support a Senior Property Manager in managing a growing portfolio of commercial properties. The role will provide day-to-day support across commercial lease administration, breach and tenancy notices, rent reviews and increases, arrears management, outgoings, maintenance coordination, compliance, and tenant and landlord communication. The successful candidate should have previous exposure to Victorian commercial property management and will work closely with the Senior Property Manager, commercial tenants, landlords, contractors, and other stakeholders to ensure properties are efficiently managed and lease obligations and critical dates are properly monitored.

Essential Requirements:
- Bachelor's degree in Business, Property Management, or a related field
- 1-3 years of experience in commercial property management in Victoria, Australia
- Hands-on experience with PropertyMe
- Familiarity with Victorian leasing practices and the Retail Leases Act 2003 (Victoria)
About the Role:

The role will provide day-to-day support across commercial lease administration, breach and tenancy notices, rent reviews and increases, arrears management, outgoings, maintenance coordination, compliance, and tenant and landlord communication. The successful candidate should have previous exposure to Victorian commercial property management and will work closely with the Senior Property Manager, commercial tenants, landlords, contractors, and other stakeholders to ensure properties are efficiently managed and lease obligations and critical dates are properly monitored.
Duties & Responsibilities:
- Assist with the preparation and processing of breach notices and other tenancy/lease notices for Victorian commercial properties, under the direction of the Property Manager.
- Monitor commercial lease compliance and follow up on outstanding tenant obligations.
- Monitor rental arrears and follow up with tenants regarding outstanding payments.
- Assist with rent reviews, CPI increases, fixed increases, market reviews, and other scheduled lease adjustments.
- Maintain and monitor critical lease dates, including rent reviews, lease expiries, renewal dates, options, and related tenancy documentation.
- Assist with commercial lease administration, including renewals, variations, extensions, options, and related tenancy documentation.
- Assist with the administration and reconciliation of commercial property outgoings.
- Assist with documentation and processes relating to Victorian commercial and retail leases, where applicable.
- Coordinate repairs and maintenance requests with liaise with tenants, landlords, contractors, and suppliers.
- Follow up on outstanding maintenance works, quotations, work orders, and contractor invoices.
- Communicate professionally with Victorian commercial tenants and landlords via phone, email, and property management platforms.
- Maintain accurate property, tenancy, lease, and communication records within PropertyMe
- Monitor required tenant documentation, including insurance certificates, licences, and other lease or compliance-related documents.
- Assist with the preparation of property management and portfolio reports.
- Escalate significant lease branches, arrears, compliance concerns, maintenance issues, or tenant disputes to the Senior Property Manager.
- Support the Senior Property Manager with the day-to-day administration of the Victorian commercial property portfolio
- Ensure documentation and communications are completed accurately and in accordance with company procedures and applicable Victorian requirements.
Key Skills:
- Previous experience supporting a Victorian commercial property portfolio is highly preferred
- Hands-on experience using PropertyMe
- Good understanding of commercial lease administration and Victorian leasing practices
- Familiarity with the Retail Leases Act 2003 (Victoria) and Victorian retail leasing requirements is highly desirable, where applicable to the managed properties
- Experience assisting with breach notices, arrears management, rent reviews, CPI/fixed increases, market reviews, lease renewals, and options
- Understanding of commercial property outgoings and reconciliations
- Experience coordinating commercial property repairs and maintenance
- Experience liaising professionally with commercial tenants, landlords, contractors, and suppliers
- Strong ability to monitor critical lease dates, tenant obligations, and compliance documentation
- Excellent verbal and written English communication skills
- Strong organizational and time-management skills with the ability to manage multiple properties and priorities
- High attention to detail and strong problem-solving abilities
- Proficiency in Microsoft Office, particularly Outlook, Word, and Excel
