Essential Requirements:
- Technical Stack: High proficiency in Excel (financial formulas, XLOOKUP, data analysis) and experience with GoHighLevel, Canva, Xero, and ChatGPT.
- Database & CRM Management: Proficiency in data hygiene, lead segmentation, pipeline tracking, and setting up automated communication workflows.
- Compliance & Risk Awareness: Familiarity with handling sensitive client information, organizing data rooms, and navigating client onboarding and identity verification processes.
About the Role:
We are looking for a highly analytical, proactive, and tech-savvy Real Estate Operations & Finance Specialist to act as a core engine for our property business. This is a unique, hybrid role blending executive-level administration with property financial analysis tailored to the Australian property sector.
You will manage everyday operations—such as social media, CRM systems, and inbox management—while simultaneously building profitability models, ensuring compliance, and coordinating directly with high-value developers, builders, and investors.
Duties & Responsibilities:
- Real Estate Finance & Research: Build and manage Excel feasibility models focused on assessing project profitability. Conduct local market research, prepare property schedules, and manage secure digital property Data Rooms for investor due diligence.
- Documentation & Admin: Prepare Information Memorandums (IMs) and property marketing documents. Prepare Australian agency agreements from approved templates, including open and exclusive agency agreements. Prepare invoices and undertake basic Xero administration.
- CRM & Database Management: Set up, implement, and manage workflows specifically within GoHighLevel. Maintain and segment clean databases of buyers, developers, builders, investors, and landowners.
- Executive Support, Sales Admin & Coordination: Manage executive calendars, schedule appointments, handle email follow-ups, and handle buyer/vendor enquiry and follow-up management. Provide general sales administration and transaction coordination support.
- Onboarding & Compliance: Assist with client onboarding, identity verification, and compliance administration in line with AML/KYC requirements
- Marketing & Business Development: Execute social media management, create visual assets using Canva, and launch EDM/email marketing campaigns. Provide prospecting support by researching new property leads and prospective buyers.
Experience & Requirements:
- At least 3+ years of experience in real estate support, property analysis, or executive finance assistance specifically serving Australian real estate or investment agencies.
- Language Skills: Exceptional verbal and written English communication skills; comfortable drafting high-level executive emails and investor memorandums.
- Industry Knowledge: Proven background in real estate admin, property development support, or property investment workflows.
- Financial & Analytical Acumen: Strong ability to read, interpret, and build real estate feasibility data, project profitability models, and property market schedules.
- Advanced Excel skills with the ability to structure and clean financial data effortlessly.
- Strong organizational skills to balance creative marketing tasks with strict, time-sensitive compliance and administrative duties.
