About the Role:
We are seeking a highly organized and proactive Executive Assistant to support an Australian-based Mortgage Broker / Lending Manager. This role combines administrative support and personal assistance, while also working closely with a team of Loan Associates to ensure smooth day-to-day operations.
The ideal candidate is detail-oriented, tech-savvy, and able to work independently in a fast-paced environment.
Key Responsibilities
Executive & Administrative Support
- Provide high-level administrative support to the Mortgage Broker / Lending Manager
- Manage calendars, appointments, and meeting scheduling
- Handle inbox management, including prioritizing and responding to emails
- Prepare reports, documents, and presentations as required
- Maintain accurate records and filing systems
Loan Process & Team Support
- Assist Loan Associates with administrative tasks across the loan lifecycle
- Support document collection, organization, and tracking
- Help ensure CRM (HubSpot) is updated and pipelines are clean and accurate
- Monitor task progress and follow up with internal team members
Client Communication & Follow-Ups
- Send email follow-ups to clients regarding requirements, updates, and next steps
- Maintain professional communication aligned with Australian standards
- Ensure timely responses and excellent client experience
Personal Assistance
- Provide light personal assistance to the Mortgage Broker as needed
- Coordinate personal appointments or tasks when required
Requirements
Experience & Skills
- Proven experience as an Executive Assistant, Virtual Assistant, or Admin Support
- Experience supporting a Mortgage Broker, Lending Team, or Financial Services (preferred)
- Familiarity with the Australian mortgage broking process (highly advantageous)
- Strong experience using HubSpot CRM
- Proficiency in:
- Slack
- Google Workspace (Docs, Sheets, Drive, Calendar)
- Calendar and email management tools
