About the Role

We are seeking a highly organised and proactive Executive Personal Assistant to support a senior leader within a fast-paced property investment business. This role is critical to ensuring training compliance, communication flow, reporting accuracy, and operational follow-through across our sales team.

The ideal candidate is detail-oriented, confident following up with others, comfortable handling sensitive information, and able to work independently once trained.

Key Responsibilities:

1. Training Attendance & Compliance
  • Attend daily meeting to track attendance.
  • Confirm completion of required pre-training homework or preparation (communicated via Slack prior to sessions).
  • Maintain accurate records of attendance and completion.
  • Act as a compliance checkpoint to ensure expectations are met.

2.  Follow-Up & Accountability
  • Using delegated access to email and phone (SMS), follow up with team members who:
    • Did not attend training
    • Did not complete required homework or preparation
  • Ensure responses and outcomes are documented and resolved.

3. Email & Slack Management
  • Manage non-critical emails and Slack messages on behalf of the senior leader.
  • Draft and send responses where appropriate.
  • Filter, prioritise, and flag items that require direct attention versus those that can be handled independently.
  • Keep communication flowing and inboxes organised.

4. CRM / Deal Oversight (HubSpot)
  • Review member deals in the CRM when requested, particularly where:
    • A deal has fallen over
    • A refund has occurred
  • Check specific process checkpoints in HubSpot to confirm the team member followed the correct internal process.
  • Summarise findings clearly and flag any gaps or issues.

5. Ad-Hoc Reporting & Data Requests
  • Respond to direct questions from the senior leader such as:
    • Conversion rates for a specific team member
    • Number of sessions conducted
    • Other performance or activity metrics
  • Retrieve accurate data from existing reports, documents, or systems.
  • Deliver clear, concise answers (not raw data dumps).
  • Training will be provided on where and how to access reporting.

6. General Personal Assistant Duties
  • Calendar and meeting coordination as required.
  • Organising documents, notes, and internal information.
  • Supporting day-to-day administrative tasks to keep operations running smoothly.
  • Acting as a reliable point of execution for delegated tasks.
  • Must be on Zoom with camera on during working hours.
